POSITION OVERVIEW

This will eventually be a full-time role but we are open to part time initially reporting directly to our CEO. The position requires a blend of remote work and in-person days, with our team located in the Solihull and Birmingham area. Typical hours are 9am-5pm, Monday-Friday, with occasional need for additional hours during launches or special events throughout the year.

 

MISSION

The mission of the Executive Assistant is to ensure seamless executive support, managing all administrative tasks with efficiency and foresight, thereby enabling the CEO to focus on strategic leadership and business growth. The Executive Assistant will play a crucial role in facilitating the CEO’s vision for ProperPlan, contributing to our goal of revolutionising project management for solopreneurs.

RESPONSIBILITIES

The Executive Assistant will be responsible for:
– Management of the CEO’s schedule, ensuring an optimal balance between meetings, strategic planning sessions, and personal commitments.
– Preparation for meetings, including agenda setting, document preparation, and follow-up actions.
– Handling communication on behalf of the CEO, including email management and liaising with internal and external stakeholders.
– Undertaking research projects, coordinating travel arrangements, and managing special requests as needed.
– Assisting with financial document management and reporting in collaboration with the Finance Department and payroll.
– Supporting project management tasks and coordinating between different departments to ensure strategic initiatives are progressing.
– Enhancing the CEO’s productivity by developing efficient workflows and processes, and by anticipating needs to ensure smooth day-to-day operations.
– Undertaking any of the administrative tasks the CEO has previously done to ensure they are managing their time effectively.

– Exceptional Organisational Skills: Ability to manage complex schedules and priorities with high attention to detail.
– Communication Mastery: Excellent written and verbal communication skills, capable of effectively summarising and presenting information.
– Discretion and Confidentiality: Trusted with highly confidential information, maintaining discretion at all times.
– Collaborative Spirit: Ability to work closely with other team members, fostering a positive and productive working environment.
– Proactive Problem-Solving: Anticipating challenges and proposing solutions to ensure the CEO can focus on strategic matters.
– Tech Savvy: Proficient with modern technology and software tools relevant to executive support and project management (e.g. Google Suite, Asana, Slack).

 

REQUIREMENTS:- Experience: Minimum of 3 years in a similar role supporting senior executives, preferably within a tech or startup environment.
